How to Find the

Perfect Venue

You want to host an event to meet new potential clients, but where do you start? First, you need a place to host this event. Finding the perfect venue can be difficult, especially if you haven’t hosted an in person event since the pandemic started. This can feel like a lot of pressure, because a venue can make or break an event. A great venue can turn out record attendance, but a poor venue can be a waste of time and money.

We’re here to provide you with our top five attributes you should be looking for when choosing your next venue. Follow along, so you’ll know what questions to ask yourself before booking your next venue.

1. Tech and Materials

This may seem like an obvious tip, but many advisors don’t even know all of the materials needed to put on the perfect event. If you don’t have high quality AV equipment yourself, then it is essential that your venue is able to provide it. Will you need a projector? How about a microphone? It is important not to assume certain venues have these things already.

You should also inquire about if there are preset menus and how many people each room holds. A preset menu ensures that you have a ballpark estimate about how much each plate will cost, and knowing the room size is essential to ensuring all your guests can fit in the space. You would not want guests leaving an event, because there is no space for them.

2. A Clearly Lit Parking Lot with Plenty of Space

A Valet can seem like a great idea at first, but it can be chaotic if guests show up at the same time. This is especially an issue if only one or two valets are working at a time. It is usually the safer option to find a venue that has a well lit parking lot with ample space. If the parking lot isn’t well lit it could make guests feel uneasy. Also, if the parking lot has no space, people will most likely leave. Parking can be a pain, so ensure that this part of your guests’ experience goes as smoothly as the rest of the event.

3. Near a Major Thoroughfare

It is crucial that it is easy for people to get to your event. You don’t want to lose guests just because they couldn’t get to your venue. Convenience is key, minimize any hurdle for a prospect to turn into an attendee. Our proprietary data tool, Prospectix, helps you use major traffic patterns to ensure your attendees understand the logistical requirements of your event!

4. Well-known Venues

Well-known venues give your potential clients a sense of comfort when attending. They most likely have been to this venue before, or at least know of people that have. Venues that are familiar with hosting events can help make your night go as smoothly as possible.

5. Properly Enclosed Private Room

It is important that you have a properly closed-off private room, because other partitions can make unwanted noise. This can be very distracting for anyone trying to pay attention to your presentation.
